This Policy describes: what personal data International Association of Experts, Inc. collects, how and for what purposes that data is processed, how long the data is retained. The Policy also separately governs the IAE Global Register and the public verification portal, including: consent provided by members and applicants, categories of publicly displayed data, retention periods, public-verification procedures, the rights of members and applicants. The governing law is the law of the State of Florida, United States.

IAE respects the privacy of individuals who interact with the Association, including: members, applicants, website visitors, authors submitting materials to IAE Review, third parties submitting enquiries. Personal data is processed only to the extent necessary for the Association’s activities and the performance of its governing functions.
This Policy is adopted and may be amended by the IAE Board of Directors. Operational processing of personal data is carried out by the IAE Executive Director and persons authorized by the Executive Director.

Personal data is processed only to the extent necessary for the Association’s activities and the performance of its governing functions.

General Provisions
Section 1
This Policy applies to personal-data processing conducted by IAE in connection with:
- Membership activities, including applications, credentialing, certification, and maintenance of the IAE Global Register
- The IAE-IPR Registry and Certificates of Contribution
- Publication of IAE Review, including manuscript submission, peer review, and publication
- Use of the official iaexperts.com website and related online services
- Communications with the Association, including enquiries, complaints, appeals, and disciplinary proceedings
- Events and annual meetings of members
This Policy does not apply to data processed independently by third parties on their own websites or services, even when those resources are accessible through links published on the IAE website.
Scope
Section 2
IAE Review publishes original, peer-reviewed research aimed at advancing theoretical and applied knowledge in the IAE's field of expertise. The journal serves the professional community of specialists engaged in expert opinions, forensic analysis, technical expert opinions, professional assessment, and expert consulting.
- Identification data: first and last name, date of birth (if required for verification), citizenship and country of residence
- Contact data: email address, postal address, telephone number (if available)
- Professional data: academic degree, affiliation, place of work, list of publications, description of professional activities and achievements
- Data for certification: educational and qualification documents, letters of recommendation, description of methods and developments submitted to the IAE-IPR
- Data for the journal: manuscripts, information about co-authors, information about funding sources and conflicts of interest, ORCID ID
- Communication data: correspondence with the secretariat, inquiries, complaints, appeals
- Payment data: information on payment of membership fees and charges (processed by the payment provider; the IAE does not store bank card details)

Data We Collect
Special Categories of Data: IAE generally does not request or process sensitive categories of personal data, including information concerning: race or ethnicity, health, political opinions, religious beliefs, sexual orientation. When such information is accidentally included in submitted documents, IAE will maintain its confidentiality and delete it as soon as reasonably practicable.

Categories of Data
IAE processes personal data on one or more of the following grounds.
- Fulfillment of contract/membership obligations: data processing necessary for application review, assessment, certificate issuance, and membership management.
- Consent: posting a verified record in the IAE's public Global Registry; contributing to journal publications as an author. Consent may be revoked at any time (see Section 10).
- IAE's legitimate interests: ensuring security, preventing fraud, improving the website (aggregated analytics), communicating with members about the Association's activities.
- Legal obligation: maintaining documentation in accordance with applicable law, responding to legitimate requests from government agencies.
Legal Bases for Processing
Regarding consent: Submitting a membership application includes consent to data processing for attestation purposes. Consent to public posting on the Global Registry is provided separately and can be revoked without terminating membership; in this case, the record will be placed in restricted access mode.
Section 5
The IAE Global Register is a public directory of credentialed members. It is maintained solely so that courts, arbitral tribunals, government authorities, businesses, and members of the public can verify a member’s status through objective information displayed in a standardized format. Every current member is entitled to a verified Registry entry. Verification is available to any person through: iaexperts.com/en/check
- Applicants: Submitting an application includes consent to process data for: document verification, peer review, collegial decision-making. An applicant’s data is not displayed in the public Registry before a final decision is made.
- Members: Consent to public display is obtained separately when a status is conferred. This consent may be withdrawn at any time without terminating membership. The entry will then be transferred to restricted-access status.
- Optional Fields: The following information is displayed only when the member expressly elects to publish it through their personal profile: affiliation, country, professional specialization.
Consent of Applicants and Members
A public entry remains visible while: the status remains active, the member’s consent remains in effect. The verification URL and QR code display the member’s current status, including: suspended, terminated. This supports public verification and protects third parties acting in good faith. When membership ends, detailed personal fields are removed from public access. Internal records concerning credentialing and the membership period are retained in accordance with Section 8.
Retention of Registry Data
- Verification Portal: Search by: name, registration ID. Verification is: free, available without registration, available 24 hours a day, open to any person.
- QR Code and Verification URL: The digital certificate contains a QR code and URL linking directly to the member’s current Registry record.
- Status-Confirmation Letter: The Secretariat may issue an official status-confirmation letter at the request of the member.
- Manual Verification: Requests may be sent to: info@iaexperts.com. A response is normally provided within 1–3 business days. Registry data is displayed in the same standardized format for all members.
Public-Verification Procedures
- View your post and request correction of inaccurate information
- Choose additional post fields and change this selection at any time
- Revoke consent to public display without terminating your membership
- Request restriction or deletion of a public post; applicants can withdraw their request, ceasing processing except for the data necessary to record the request
- Appeal the decision on a request in accordance with Section 10 and file a complaint in accordance with Section 15
Rights of Members and Applicants
A member may request restriction or removal of their public Registry entry at any time by contacting: info@iaexperts.com. Restricting an entry: does not terminate membership, does not affect the right to use an applicable post-nominal designation. The entry is normally removed from public access within five business days after receipt of the request.

Additional information, including affiliation, country, and professional specialization, is displayed only with the member’s express consent.
IAE Global Register and Public Verification
Information concerning the existence and nature of a final disciplinary sanction may be published to the extent necessary to protect the public and preserve the integrity of the status, in accordance with the IAE disciplinary procedure. Such publication does not violate this Policy.
Section 6
IAE does not sell or rent personal data. Personal data may be disclosed only in the following circumstances.
- Service providers (data processors): payment providers, cloud storage providers, and email and website management system operators – exclusively for the performance of IAE functions, based on confidentiality agreements.
- DOI Registrar: IAE Review article metadata – author names and affiliations – are transferred to Crossref upon connection, in accordance with the author's publishing agreement.
- Reviewers: Applicant materials are transferred to reviewers in anonymized form – name and affiliation are not disclosed to reviewers.
- Government Authorities: If there is a legally binding requirement (subpoena, regulatory order). IAE notifies the data subject of such a request to the extent not prohibited by law.
- Successors: In the event of a reorganization or liquidation of IAE, data may be transferred to a successor organization with similar statutory purposes.

Retention Period
Upon expiration of the retention period, the data is deleted or irreversibly anonymized. IAE reserves the right to retain the data longer if there is a legal obligation or pending legal or administrative proceedings.
IAE uses reasonable organizational and technical measures to protect personal data from unauthorized access, loss, destruction or disclosure:
No system is completely secure. If a security breach is detected that is likely to pose a risk to the rights of data subjects, the IAE will take measures to remediate the breach and notify affected parties within a reasonable time.

IAE takes reasonable measures to ensure adequate protection during cross-border transfers, including contractual arrangements with service providers.
When interacting with IAE from a jurisdiction with additional data-protection requirements, including the European Union or European Economic Area, you acknowledge that: processing is governed by applicable Florida law, IAE will also comply with the requirements of your jurisdiction to the extent legally applicable to IAE.

Amendments to This Policy

IAE may amend this Policy by decision of the Board of Directors. When material amendments are made, current members will receive notice at the email address in their profile at least 30 days before the amendments take effect. For other persons, amendments take effect when the updated version is published on the Website.
Continued use of IAE services after amendments take effect constitutes acceptance of the revised Policy. The effective date of the current version appears in the document heading.
